Introduction
The way that the SpitFire software checks for records that are in its' internal nocalls database is two-fold. First, when importing a new list, ListMaker will scrub the data against the nocalls phone numbers and delete any records in the new list that are also in the Dialer's nocalls database.
Second, while the Campaign software is dialing, it is checking against the nocalls database in real time. If it comes across a phone number that is in the list of leads that is also in the internal nocalls database, the Campaign software will disposition the record in the list as a nocall (DialResult 211) and move on to another record. It does not delete these records but, once they have been marked as nocalls, they are not reworkable with ListMaker as other records are when a list is exhausted.
The first procedure is going to remove the nocalls records and does not generate any sort of list of what those records were. However, in some situations, it may be advantageous to have a list of those records. For instance, if your database vendor is guaranteeing a certain amount of good records. So the second procedure can be helpful to allow one to generate a list of all the records that were marked as nocalls and thus not usable. However, in order to get a list of all the nocalls records, you must prevent the ListMaker software from scrubbing the data upon import as it normally would. Then you can dial the list, then search for and export all the data that was marked as nocalls records into a text file. The text file can be opened in any application that can open comma-delimited files, such as Excel.
Creating a Dummy Nocalls Database
First we have to create a dummy nocalls database that can be used when importing new leads.
1. Open Notepad and type a dummy number into it like 5551234567.
2. Save it to the Desktop as dummynocalls.
3. Use the Import Nocalls feature in ListMaker as normal but select the dummynocalls file on the Desktop.
4. Click the yellow folder to select the dummynocalls.txt file.
5. Select Comma for the Field Separator and click Next.
7. By default it will be on the correct Phone Number Field since there is only one field. So click Import to continue.
8. When given the option to Migrate to Existing or Create New, leave it on Create New and type in the name dummynocalls. Save it as normal.
9. When it is finished, you can click Finish and close ListMaker.
Using A Dummy Nocalls Database When Importing
Now that you have created the dummy nocalls database, you can import new leads and scrub them against the dummynocalls instead of the actual nocalls database.
1. In the ListMaker ASCII Import window, select your lead list as normal and then click the yellow folder next to NoCalls Filename.
2. Here you can change from nocalls to dummynocalls.
3. Import the list as normal. Because we did not point the import process to scrub against the nocalls database, it will not scrub any records upon import.
Now when you start dialing, the SpitFire Campaign software will be comparing the records in the leads list to the actual nocalls database in real time. The fact that we changed that setting in the Import ASCII window will not change how the Campaign software checks against the actual nocalls database. In fact, this setting in the Import window will revert back to the default, nocalls database the next time you import a list. So it is important to remember to set that each time you import a new list.
Once the Campaign software starts dialing, it will not call or delete the records that are on the nocalls list. However, it will disposition them as nocall records.
This means that once you have finished dialing the list, we can look up and export the records that had been marked as nocalls during the campaign(s) run with that list.
Looking Up and Exporting the Nocalls Records
1. Open ListMaker and then open the list you want to work with.
2. Click on Tools-->Lookup Contacts at the top of the ListMaker window.
Check the No call option and click Lookup.
3. Once it has found the matches, click the Work button at the bottom.
Then you will be looking at just those records that have been marked as nocalls.
4. Click on Utilities-->Export List.
5. Here you have to select what fields you want to include in the export. The only required field is the voicephone (which is the phone number).
6. Then click Start Export.
7. From here you have several options of how to export the data. To create a text file that can be opened in something like Excel, select Export to Text file.
8. Click the blue, floppy-disk icon to the right of that and choose where you want to save the text file and what you want to name it.
9. Check the box next to All Records so that it exports all the records you just looked up.
10. Click Export and, when it is finished, it will show how many records were exported in red.
Now you have a file that can be opened in any program that can open comma delimmited text files, such as Excel.
